Asset Access Settings

Assets have two levels of permissions, similar to page settings. You can set the permissions, or access, for each asset and for the entire site.

To edit access for an individual asset:

1. Navigate to Content > Assets.
2. Click the More Actions menu  for an asset.
3. Click Edit > Access.
4. In the "Access Settings" box, edit the following as appropriate:
   • Access Group: Click the dropdown to select the group that can edit this asset.
   • Available To: Click the dropdown to select the group that can use this asset.
     • The asset will not be listed as an option for groups without access.
   • Approver: Click the dropdown to select an approver for use of the asset.
     • To publish the asset users must submit it to an approver.
   • Enforce Approver: Click the "Yes" radio button to prevent users from choosing a different approver than the one assigned.
   • Bypass Approval: Click the dropdown to select a group that doesn't need to submit the asset for approval when publishing.
5. Click Save.

To edit access to assets for the site (Level 10 users only):

1. Navigate to Setup > Sites.
2. Click More Actions.
3. Click Edit > Asset Access.
4. In the "Asset Access Settings" box, edit the following as appropriate:
   • Recursive Modification: Click the radio button to apply the settings to new assets only or to all current and new assets.
   • Access Group: Click the dropdown to select the group that can edit this asset.
   • Available To: Click the dropdown to select the group that can use this asset.
     • The asset will not be listed as an option for groups without access.
   • Approver: Click the dropdown to select an approver for use of the asset.
     • To publish the asset users must submit it to an approver.
   • Enforce Approver: Click the "Yes" radio button to prevent users from choosing a different approver than the one assigned.
   • Bypass Approval: Click the dropdown to select a group that doesn't need to submit the asset for approval when publishing.
   • Asset Creation Access: Click the asset type dropdowns to select the group(s) that can create each asset type.
5. Click Save.
